The Opportunity

We are seeking a part-time Operations Coordinator to support daily operations, client service workflows, and internal coordination across the firm. This role is ideal for someone who enjoys variety, takes pride in organization and follow-through, and wants to be part of a collaborative, service-focused team.

Responsibilities

  • Process client service requests in Fidelity Wealthscape, including account paperwork, distributions, and other account maintenance requests
  • Manage Redtail CRM tasks and reporting
  • Support financial planning workflows (Holistiplan tax uploads, Social Security Analyzer input, eMoney maintenance)
  • Manage ShareFile document downloads and electronic file organization
  • Assist with scheduling client meetings and calendar coordination
  • Support newsletters, Constant Contact updates, and website edits
  • Attend staf meetings, prepare and circulate notes to the team
  • Serve as point person for ordering supplies and run occasional local errands
  • Coordinate with vendors (technology, phone, and other service providers)
  • Support special projects and process improvement initiatives as needed

What We’re Looking For

  • Experience in a financial advisory, wealth management, or professional services environment preferred
  • Strong organizational skills with attention to detail
  • Proficiency with Excel, Word, and Outlook
  • Strong communication skills and a collaborative mindset
  • Familiarity with Fidelity Wealthscape, Redtail, Holistiplan, or similar systems is a plus

  • Flexible part-time position, approximately 20–25 hours per week, primarily in-ofice, with potential for limited hybrid flexibility based on experience, role responsibilities, and firm needs
